We faced a unique challenge in serving both sellers and customers, where order fulfillment needed to balance efficiency with operational flexibility.

Operations User Flow Fulfillment

Addressing a critical fulfillment challenge - managing multi-seller orders across distributed warehouses, through user research we identified, our warehouse operations team needed automated yet flexible order processing for different situations.

We developed a dynamic order-splitting algorithm to automate fulfillment decisions based on inventory, warehouse proximity, and delivery optimization. To ensure flexibility, a manual override feature was added for special cases and peak demand periods.

Not skipping customer transparency, we added innovative fulfillment center display, which initially showed potential shipping cities based on real-time inventory data, later consolidating to the final dispatch location post seller confirmation.

This hybrid approach balanced efficiency with flexibility, streamlining shipping, reducing costs, and preserving the human touch crucial in B2B operations. It showcased how user-centric design and operational excellence can resolve complex supply chain challenges.

Streamlining Financial Flows – Architecting Payment Systems for B2B Education

Finance User Flow System Design

We found complex payment scenarios in the platform. We visualized every financial touchpoint from standard transactions to multi-seller cases showing exactly how money moves and where tax deductions occur through detailed flow documentation.

This clarity proved invaluable for our finance team, who used these documented flows to make quick decisions about tax implications, reconciliation processes, and payment scheduling.

When new payment scenarios emerged, the team could easily reference and adapt existing flows, significantly reducing decision-making time. The result was a streamlined system where automated payments, tax compliance, and financial planning worked seamlessly together, allowing schools and suppliers to focus on their core operation

Multi-Branch School Management Platform

Admin Order portal System Design

We recognized that modern schools operate across multiple locations with diverse administrative needs. We built a robust platform that allows schools to register each branch as distinct centers within their organization, creating a unified yet flexible procurement structure.

When schools place B2B orders, products are automatically routed to the correct branch location, ensuring supplies reach the right students at the right campus. Students can be enrolled directly into the system and linked to their respective campuses, streamlining the ordering process.

The role-based access system enables schools to assign specific permissions to different users - from principals who need full oversight to branch managers who handle local purchasing decisions.

This centralized approach with distributed control gave schools the ability to maintain procurement standards across all locations while allowing each branch the flexibility to manage their specific needs. The result was more efficient resource allocation and simplified administration for multi-campus educational institutions.

Modernizing School Procurement and Inventory Management – A Digital Solution for Multi-Campus Distribution

POS & Inventory Schools System Design

Our solution addressed the complexity of bulk purchasing and distribution in schools by creating a unified digital system. The integrated POS system not only tracked purchases but also managed inventory across multiple school locations, giving administrators real-time visibility of their supplies.

We enabled schools to monitor product distribution to students and maintain accurate stock levels at each campus location. The system provided insights into consumption patterns, helping schools optimize their bulk purchases and predict future needs.

School staff could easily track which students had received their supplies, manage returns, and plan distributions more effectively. This transformed what was once a manual, error-prone process into a streamlined digital workflow that saved time and reduced administrative burden.

The result was a more efficient operation where schools could confidently manage large-scale student supply distribution while maintaining accurate records across all their locations.
